Integrated management to turn KeyCore's operation into actionable information

The challenge
KeyCore operated with external tools and fragmented systems that failed to adapt to the complexity of its simultaneous projects. Information was scattered, making it difficult to track hours and trace issues across departments (Development, QA, PM, Administration, Marketing), leading to rework and manual errors. This lack of an integrated executive view prevented the team from anticipating delays and efficiently reviewing workloads, as they relied on time-consuming manual consolidations.
The solution
The solution We developed Corebit, a proprietary and centralized platform that acts as an operating system for managing projects, teams, and administrative processes. Designed with a modular architecture and an independent REST API, Corebit unifies project planning, task and sprint management, time tracking, issue control, financial administration, and team management. The platform was built through incremental development in sprints and features continuous integration, automated testing, and atomic deployments to ensure its evolution and stability.
The result
Centralization of operations into a single ecosystem, successfully managing 65 projects, around 200 sprints, and 216 tickets in its first six months with 33 active users.
What we built
- Centralized management of projects, tasks, and sprints with work boards and tracking indicators.
- Time tracking and control module linked to projects, tasks, and tickets.
- Issue and ticket system for QA, production, and clients (via public form).
- Finance and administration modules for clients, quotes, billing, and collections.
- Team and Human Resources management for workload control and internal requests.
- Architecture based on a versioned API (27 independent modules, 200 routes) and data-driven permissions (RBAC).
- Reports, exports (Excel, PDF, DOCX), audit timelines, and an in-app and email notification system.
Impact and results
- Elimination of information scatter and reduction of rework by replacing multiple disconnected tools.
- Real-time executive and operational visibility for PMs, management, and technical areas, allowing them to anticipate risks and prioritize tasks.
- Full traceability of issues and hours worked, connecting effort directly to the project context.
- Establishment of a proprietary, scalable technological foundation with the potential for commercialization to other service companies.
